What's Been Built for TCRC

I know this is all new — nobody knew this was in the works.

Nothing goes out until we say so. This is just showing you what's been built.

I've been building a complete system for the club that handles membership, events, renewals, sponsors, and communication — all in one place, runs automatically through the club website. No extra apps, no monthly fees.

There are 5 sections below — each one shows a different thing the system handles. These are the actual emails people would see in their inbox.

Flow 1

New Member Joins

What happens: Someone pays $35 online (or Dale signs them up at the field). The system immediately sends two emails — one to the new member, one to the officers.
1
Member receives a welcome email — confirms their membership, gives them a link to their digital member card, and tells them the field is open.
SENT TO: NEW MEMBER
From: Tinley Creek RC Club <noreply@tinleycreekrc.com> To: john@email.com Date: Mar 22, 2026 2:14 PM Subject: Thanks for joining, John — you're in!
Tinley Creek RC Flying Club

You're in, John!

Thanks for joining TCRC. Your membership is confirmed.

Welcome to Tinley Creek RC Flying Club. The field is open sunrise to sunset, seven days a week — just show up and fly.

Your membership runs through the end of 2027. We'll reach out before it's time to renew — there's no automatic billing.

Your digital member card is ready

Save it to your phone — or pull it up any time at the field.

Membership Renewal

What happens: 30 days before someone's membership expires, they get this email. Nobody has to remember to send it — the system checks every day and handles it.
1
Member receives a 30-day renewal reminder — friendly tone, two clear options: renew online or let us know you're not coming back. No guilt, no pressure.

From: Tinley Creek RC Club <noreply@tinleycreekrc.com> To: john@email.com Date: Dec 1, 2026 8:00 AM Subject: Your TCRC membership renews next month

Time to renew, John

Your membership expires on December 31, 2026

Hey John,

Your TCRC membership expires on December 31, 2026. Renewing keeps you in the loop on events, voting, and the crew at the field.

Not planning to renew? No hard feelings — just let us know so we can update our records:

I'm Not Renewing

Either way, you're always welcome at the field.

IF THEY CLICK "I'M NOT RENEWING"
What happens next: The member sees a short form asking why they're leaving. They pick a reason. When they submit, officers get notified right away with the member's name and reason — no guessing, no chasing.
2
Officers receive a notification — who's not renewing and why. The member is automatically removed from the active roster and mailing list.

Sponsor Signs Up

What happens: A business pays $75 to become a sponsor through the website. The system pulls their logo from their website, writes up a short description, adds them to the sponsors page and the printed QR sheet, then sends two emails.
1
Sponsor receives a welcome email — shows exactly what was set up: business name, description, logo status, and a link to view their listing. They can reply to fix anything.
SENT TO: SPONSOR
From: Tinley Creek RC Club <noreply@tinleycreekrc.com> To: owner@testbusiness.com Date: Mar 22, 2026 3:08 PM Subject: Welcome to TCRC — You're Now a Sponsor!

Flow 4

Indoor Venue Submitted

A few members asked about indoor flying spots for the off-season. There's now a page on the website with indoor venues near Chicago — schedules, fees, and phone numbers. There's also a form where anyone can submit a venue they know about. When someone submits one, this is what comes in.
1
Admin receives a venue submission notification — all the details in one email. Verify the info, then update the indoor flying page.

Flow 5

Someone Donates to the Club

Think of the "buy me a coffee" buttons you see everywhere now. Same idea — a QR code at the field or a link on the website where anyone (members, visitors, spectators) can drop $5 or more to support the club. Funds go directly to TCRC through a secure payment processor (same one used for memberships and sponsors). The treasurer gets notified instantly.
1
Someone scans the QR code at the field or clicks the donate link on the website. They choose an amount ($5 and up), pay with their card or Apple Pay, and they're done in 30 seconds.
2
The treasurer gets notified. Name, email, amount — all in one email.
SENT TO: TREASURER

Someone donated $10.00

Tom Stevens donated $10.00 to TCRC. Thank them if you can!

Sent automatically when a donation is received through the website.

A QR code for the field box is ready to print — visitors scan it, pick an amount, done. The donation page is already on the website. Every dollar is tracked and shows up on the club stats dashboard.

What I need from you

Take a look at everything above and let me know what you think. We want to make sure everything looks good before anything goes live. If something doesn't make sense or you'd want something different, just reply to the email.

All the emails above are real — these are exactly what people will see in their inbox.
